Who we are
This notice explains how Bice Technology Ltd ("Bice Technology", "we", "us") uses personal information when you visit bicetech.co.uk, contact us, or deal with us as a prospective or current customer. We are the controller of that information.

Information in heatnet
Organisations that use heatnet hold information about their own customers in it, such as names, addresses, bills and meter readings. For that information the organisation is the controller and we are its processor: we handle it only on its instructions, under a written data processing agreement. If you are a heat network customer and have a question about your information, please contact your heat supplier first. We will help them answer you.
What we collect
- When you contact us by the website form or email: your name, email address and message, and anything else you choose to give us, such as your organisation, role, phone number and the size of your networks.
- When you become a customer: the names, work contact details and roles of the people we deal with, and the account and billing details needed to supply heatnet.
- When people use heatnet: the sign-in details of each staff user (name, work email, role, and security settings such as two-step verification), and records of what they do in heatnet, kept for security and audit.
- When you visit the website: our web host records technical information in server logs, such as your IP address, browser type, the page requested and the time. We do not use these logs to identify you.
We do not use cookies, analytics, advertising tags or any other tracking on this website, and the fonts are served from our own site, so visiting does not share your information with anyone else.

Where we rely on legitimate interests, we have weighed them against your rights. You can object at any time (see Your rights).
Who we share it with
We do not sell personal information. We share it only with service providers who help us run the business, under contracts that require them to protect it and use it only for us:
- our website and email host, Hostinger, which stores this website, our email and the server logs described above;
- the cloud hosting provider that runs heatnet;
- our accountants, bank and professional advisers, where needed.
We may also share information if the law requires it, or with a buyer if our business is ever sold, in which case they would have to respect this notice.
International transfers
Our providers may store or access information outside the UK, including in the European Economic Area. Where information leaves the UK, we make sure it is protected, for example because the country has a UK adequacy decision or because we use the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries that do not lead to a contract: up to two years after we last heard from you.
- Customer account and contract records: for the length of the contract and six years after it ends.
- Accounting records: six years from the end of the financial year they relate to.
- Server logs: for the short period set by our web host, usually no more than a few weeks.
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to our use of it, including for marketing, which we will always stop;
- ask for information you gave us to be sent to you or another organisation in a common format.
Some rights depend on the legal basis we use and have exceptions. To use any of them, email hello@bicetech.co.uk. We will reply within one month and will not charge you.
How we protect it
We use encryption in transit, two-step verification for access, role-based permissions, separation of each customer organisation's data, and audit records of changes. Only people who need information for their work can see it.
Complaints
If you are unhappy with how we have used your information, please tell us first at hello@bicetech.co.uk so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
We will update this notice when our practices change. The date at the top shows when it last changed. If a change is significant, we will tell customers and anyone we are in touch with.
